The short answer
Respond within minutes, at any hour. An automatic acknowledgment can go out right away by email, and by text if the person gave consent. A person should follow up as soon as the lead is qualified. We build to a five-minute target and measure it against your own baseline.
Why the first response matters
Someone who fills out a form is usually comparing options at that moment. If you reply tomorrow, they may have already talked to someone else.
You paid for that lead either way. Slow follow-up is one of the cheapest leaks to find, because the evidence is already in your inbox and your CRM.
Measure your own number first
Pull your last fifty inquiries. For each one, note when it arrived and when someone first replied with something useful.
Split the list into business hours and after hours. Look at the typical response and the worst one. Your own number tells you more than any published benchmark.
What the fix includes
Every inquiry lands on one record, whether it came from a form, a call or chat. An acknowledgment goes out automatically, and the owner of that lead gets notified.
A missed call gets a text back when the caller has consented. The message offers a booking link. If nobody picks up the lead within a set time, it escalates to a named person.
What should stay human
Automation can acknowledge, answer common questions and book a time. A person approves the wording of those replies before they go live. People handle advice, pricing and credit decisions.
An AI assistant should say that it is an AI assistant and hand off to a person on request. Text only people who gave consent, and honor every opt-out right away.
